Starting the planning process early is crucial for a smooth trip. Planning a year in advance is sufficient for most trips, but if you are traveling far away, it’s wise to start planning around 18 months ahead. This not only reduces the anxiety surrounding the trip but also allows teachers and students to anticipate the journey with excitement rather than worry or stress!

Before delving into the specifics of your upcoming journey, it's important to establish the fundamentals. Take a moment to consider; what are your objectives for this program? Having a defined theme, sport or activity in mind can help shape the planning process. Reflect on the goals you wish to achieve and the skills you hope your participants will develop during this trip. Opting for a tour that aligns with your educational objectives and caters to the interests of your group is essential for a fulfilling experience. GEC specializes in tailoring bespoke tours that precisely meet your needs. With a variety of pre-designed itineraries to destinations to throughout Europe, Asia, the South Pacific, Africa and the Americas, you have plenty of options to choose from. Once you've selected your preferred options, get in touch with a GEC Tour Consultant regarding your top one or two choices, as well as your desired departure time and location.

After choosing a tour, the next step is to seek approval from the school board. Your school may have particular guidelines and procedures that must be followed prior to confirming a tour reservation. GEC will supply all the required paperwork to assist you in gaining approval from the principal and department heads.

Once you've picked out the tour, it's time to start rallying your group! An early start on this is key to getting a good-sized group together. GEC suggests introducing the travel concept to your students pretty early on—think about mentioning it during the first or second week back at school. For sparking interest and getting those sign-ups rolling in, think about creating some excitement around your travel plans. Many schools have had success with using engaging presentations or fun videos during assemblies, holding info sessions, putting up posters, and distributing flyers for students to take home. To help you out, GEC will provide you with a customized slide deck, various marketing materials, and a video that'll help you organize your meetings and ignite excitement. And here's a bonus: GEC staff and local representatives are often available to attend your meetings and lend a helping hand.

As you gear up for your exciting school trip overseas, you'll be fully supported by GEC's robust system designed just for you. Dive into specialized training sessions that'll get you ready for the adventure of leading your students in a whole new country. We encourage you to join in on our prep trips to get a feel for the place and to run detailed briefings to set the scene and iron out any last-minute questions. With GEC's help, you'll have everything checked off your list, from important papers to what to pack, thanks to our thorough checklists. About a month before you take off, we'll send you backpacks, tags for your bags, and travel guides packed with all the info you need. It's a great idea to get everyone together to go through these final details. Then, with just a week to go, all your tickets and necessary documents will be ready to print from your MyGEC portal-perfect for handing out to your group at a final meetup to chat through any last minute details.

When you arrive to your destination, a GEC Tour Manager will be there with a big smile, ready to help you kick off this incredible learning journey.
